Set up tax and invoices

Turn tax on, set your rate and label, choose your invoice numbering, and see when Samba issues invoices and credit notes.

Samba itemizes tax on your bookings and issues the invoices and credit notes for them. You set the tax rate, the numbering and the wording once, under Settings → Billing logic.

Before you start

  • Owners, Admins and Managers can change these settings. Users can open the page but not edit it.

  • Your prices in Samba are always tax-inclusive. Tax is never added on top: the tax amount shown is the part of your price that is tax.

Set your tax

  1. Go to Settings → Billing logic and scroll to the Tax section.

  2. Switch on Collect tax (1).

  3. Enter your Tax rate (2), with up to two decimals.

  4. Enter the Tax label (3) travelers should see beside the amount, such as "VAT" or "GST".

The Tax section with the Collect tax switch marked 1, the Tax rate marked 2 and the Tax label marked 3
  5. Select Save changes.

Tax is then itemized at checkout, on payment plans and on invoices. With Collect tax off, bookings carry no tax; your rate and label are kept for when you switch it back on.

For example, with a 20% rate a €1,200 trip shows €200 of tax: the traveler still pays €1,200.

Set your invoice numbering and wording

  1. In the Numbering section, set the Invoice prefix and the Booking prefix: one to three letters or digits each. They start as INV and SMB.

The Numbering section with the Invoice prefix field outlined
  2. In Invoice mention, add any text that must print at the bottom of every invoice, such as payment terms or a legal notice. You have up to 1,000 characters.

  3. Check your legal name, address and tax ID under Business details on the same page: they print on every invoice.

  4. Select Save changes.

Credit note

Each series restarts at 000001 every calendar year. Invoices and credit notes are numbered separately, and numbers are never reused.

When Samba issues each document

Document

Issued when

Receipt

Every successful payment or refund, from the first deposit

Invoice

The booking becomes fully paid: at checkout, with the last installment, a manual charge, or an offline payment. One per booking

Supplemental invoice

You edit a booking and the price goes up. It covers the increase only

Credit note

Every refund

If you refund part of a booking before it is fully paid, Samba issues the invoice early, for the full booking total, so the credit note has an invoice to refer to. It shows as partly paid until the remaining payments arrive.

Samba does not email invoices or credit notes. You and your travelers download them: see Find transactions, receipts and invoices.

What happens next

  • New settings apply to bookings made from now on. The tax amount is fixed on a booking when it is priced, so changing the rate later does not alter existing bookings.

  • Changing a prefix affects new numbers only, and the counter carries on.

  • An invoice keeps the legal details and mention it was issued with, and the traveler's name and address. Editing them later does not change invoices already issued.
