Limit how many of a package each departure sells

Cap a package per departure, sell rooms for pairs with Travelers per unit, and change one date's units in its Inventory section.

Give a package its own cap when a departure has fewer of it than seats: four single rooms on a 12-seat trip, or two twin rooms sold to pairs. Samba counts what each departure has sold and stops travelers picking that package once it runs out, while the other packages keep selling.

Day tours have no packages, so this applies to multi-day tours only.

Set the limit on the package

  1. Go to Settings → Experiences, open the experience, click Edit, and open the package under Packages on the Pricing & Participants tab.

  2. Set Travelers per unit: 1 for a seat or a bed, 2 for a twin or double room. Every traveler still takes one seat on the departure and pays the package's per-person price.

  3. Set Units per departure to how many of this package each departure can sell. Leave it empty for no limit.

A package with Travelers per unit set to 2 and Units per departure set to 4
  4. Click Save changes.

Units are counted per booking and rounded up: a solo traveler in a twin room takes the whole room, and two solo bookings take two rooms.

Travelers per unit is locked while upcoming departures have travelers on the package. For a different room size, add a new package.

Rooms or gear that other trips also use? With Resources on, you can also link a resource to the package on the experience's Resources tab. It is counted across every departure and experience that shares it. Both limits can apply, and the lower one wins.

Change the limit for one departure

Every departure starts from the package's Units per departure. To give one date more or fewer:

  1. Open the departure from Calendar & Scheduling and expand Inventory.

  2. In Packages, choose the package's Allocation: Use default, No limit, or Custom.

The Inventory section of a departure: a package with a Custom allocation of 5 units, its sold, held and left counts, and add-on stock
  3. For Custom, type the number in Units. 0 closes the package on this date.

  4. Click Save inventory.

The Sold, Held and Left columns show units on confirmed bookings, units held by carts at the payment step and by booking requests waiting for your answer, and what is left to sell. You can edit the section until the departure starts or is canceled, including while it is Sold out. Raising a package's units brings back a date that travelers could not book because its packages were full. It does not add seats: a date that is Sold out because every seat is taken needs more capacity or a freed seat.

You can't set units below what a departure has already sold or held. Samba tells you the minimum, on the departure and when you lower the package default.

What happens next

  • At checkout, a package with no unit left on that date reads Sold out and can't be picked. One with 5 or fewer left reads Only N left.

  • A package for pairs reads For 2 travelers · price per person. Travelers must fill whole units, so a party of three can't continue with one person alone in a twin room.

  • When every package is full, the date shows as Sold out on your trip page with nothing to click, and disappears from your widgets, even if seats remain.

  • You can book past a package's limit yourself from the booking wizard. See How overbooking works.

Why is there no Inventory section on my departure?

The section shows on departures of a multi-day tour with packages, and on any departure with an add-on that has limited stock. A private departure created by accepting a booking request has none.

What happens to a departure's units when I delete the package?

They are deleted with it, along with any resource linked to the package. Existing bookings keep the package name and price they were sold with.
