Link a resource to a package, participant type or add-on

Make a resource count only for the travelers who pick one package, participant type or add-on, such as kids' bikes for the Child ticket.

Some resources are only used by part of a booking: kids' bikes for the Child ticket, twin rooms for the Twin package, one kayak per Kayak rental add-on. Link the resource to that option and it is only taken when a traveler picks it. When the pool runs out, that option reads sold out at checkout while the rest of the departure keeps selling.

Before you start

Resources must be switched on, you need at least one resource, and the experience needs a package, participant type or add-on to link it to.

Link the resource

  1. Go to Settings → Experiences, open the experience, click Edit, and open its Resources tab.

  2. Under Linked to options, select Link resource.

The Linked to options section of an experience's Resources tab, with the Link resource button outlined
  3. Choose the Option, then the Resource. The list shows each pool's size, such as "4 units".

  4. Under Needed, pick how the option uses it:

    • Per participant — Each traveler on the package or participant type takes one seat of a unit. The resource needs Seats per unit.

    • Units per participant (participant types) or Per unit picked (packages, add-ons) — Each traveler of that type, each room of the package, or each unit of the add-on takes the Units you set, such as 1 bike per Child.

    • For the whole departure — The Units you set are blocked as soon as any booking picks the option, and freed again if none does.

  5. Select Save changes.

You can link the same resource to several options; they all draw from the same pool. You can't link a resource to the same option twice.

Changes apply to every departure of the experience as soon as you save, including departures that already have bookings. If the save leaves upcoming departures with more booked than a resource carries, Samba warns you and flags those departures on your calendar.

What happens next

  • At checkout, the option stops at what its resource has free on that date: a participant type or package reads Only N left or Sold out, an add-on reads "N available on this date". The rest of the departure keeps selling, and travelers never see the resource's name.

  • The departure's Resources section shows one row per link, labeled with its option, such as "for Child". See How resources limit what a departure sells.

  • Test the setup with a sample party before anyone books.

What happens to the link when I delete the package, participant type or add-on?

The link is deleted with it. Resources under Whole experience are not affected.
