Add a resource

Register a vehicle, boat, room or piece of gear as a resource, with its units, seats and turnaround, so your trips can share it.

A resource is a pool of identical units: two minibuses are one resource with 2 units, not two resources. Every experience that needs the resource draws from the same pool, and Samba stops selling a departure when the pool runs out at that time.

Before you start

Resources must be switched on for your workspace. Owners, Admins, Managers, and Users can add and edit resources.

Add the resource

  1. Go to Settings → Operations → Resources.

The Resources list with the New resource button outlined
  2. Select New resource.

  3. Enter a Name and choose a Category: Vehicle, Boat, Equipment, Room, or Other. Pick a Color if you want the resource to stand out in lists.

  4. Set Units: how many identical units are in the pool. A single van is 1.

  5. Set Seats per unit: how many people one unit carries or sleeps, such as seats in a van or beds in a room. Leave it empty for gear that carries no one, like a trailer or a set of headsets.

  6. Set Turnaround: how many minutes a unit stays busy after a departure ends, before the next departure can use it. Cleaning a boat or driving a van back to base, for example. A Room on a multi-day trip is booked by the night instead: it is free again from the last day, with no turnaround, so a weekly group can arrive the day the last one leaves.

The New resource window with the Units, Seats per unit and Turnaround fields outlined
  7. Select Create.

Fill in Seats per unit for anything you plan to use per participant. A resource without seats can block a departure outright, but it can never limit how many seats the departure sells.

Edit a resource

Select Edit on the resource's row to change any of its details. The edit page also has a Used by section that lists every experience needing the resource and how, for example "For the whole departure · 2 units" or "Per participant · 1 seat each". The Used by column on the list shows the same count.

Two things to know before you change a resource that departures already use:

  • You cannot clear Seats per unit while an experience uses the resource per participant. Change that experience's requirement first.

  • Fewer units, fewer seats per unit, a longer turnaround or a room moved to another category can leave an upcoming departure with more booked than the resource now carries. Samba warns you when you save and flags the departure on your calendar; nothing is canceled for you. See How resources limit what a departure sells.

Archive or delete a resource

On the resource's edit page.

On the resource's row in the list.

Available at any time. The confirmation names the experiences that still need the resource.

Only while no experience needs the resource.

The resource leaves every picker and stops limiting availability at once. The experiences keep it listed as archived until you attach another resource.

The resource is removed for good.

Reversible: select Unarchive on its edit page or on its row in the Archived tab.

Not reversible.

Unarchiving brings the limit back, with the same warning if departures grew past it while the resource was archived.

What happens next

Can I name each unit, such as "Van 1" and "Van 2"?

No. A resource counts interchangeable units, so Samba never tracks which van a departure gets. If two vehicles differ in a way that matters, such as seats, create a separate resource for each with 1 unit.
