Set the resources an experience needs

Tell Samba which vehicles, rooms or gear every booking of an experience uses, so a departure never sells more than they carry.

Resource requirements say which resources every booking of an experience uses, and how. Samba counts that use across every experience sharing the resource and limits what each departure can sell, so you never sell more seats than your vehicles carry.

Before you start

Resources must be switched on and you need at least one resource. Until then the tab points you to Settings → Operations → Resources instead of offering a picker.

Add the resource to the experience

  1. Go to Settings → Experiences, open the experience, click Edit, and open its Resources tab.

  2. Under Whole experience, select Add resource.

The Resources tab of an experience with a Minibus requirement, and the Resources tab and Add resource button outlined
  3. Choose the Resource. The list shows each pool's size, such as "2 units · 16 seats each".

  4. Under Needed, pick how each departure uses it:

    • Each participant takes one seat of a unit. A departure can sell as many seats as the free units carry. — A set number of units is blocked for the departure as soon as it has a booking or a seat hold, and freed again if it ends up empty.

    • The resource needs Seats per unit. — Set Units below. You cannot ask for more units than the pool has.

    • A 2-unit, 8-seat minibus: "Up to 16 participants, subject to availability". — One 4-seat tuk-tuk: "Caps this experience at 4 participants."

  5. Repeat for each resource every booking needs. A resource can appear once in this section.

  6. Select Save changes.

Changes apply to every departure of the experience as soon as you save, including departures that already exist and have bookings. If the save leaves upcoming departures with more booked than a resource carries, on this experience or on another one sharing it, Samba warns you and flags those departures on your calendar.

A resource only some travelers use — kids' bikes for the Child ticket, twin rooms for the Twin package, a kayak per rental add-on — goes under Linked to options instead. See Link a resource to a package, participant type or add-on.

What happens next

  • Travelers see fewer seats left, or a date that reads sold out, and nothing about the resource. Each departure's page gains a Resources section naming the resource that limits it. See How resources limit what a departure sells.

  • The experience's own page has a matching Resources tab. Caps at shows the most participants each resource lets a departure take. When a whole-departure cap is below the seats some of your upcoming departures offer, an amber note says so: those extra seats can never sell until you add units or raise the cap.

  • Test the setup with a sample party before anyone books.

How do I remove a resource from an experience?

On the Resources tab, delete its row and select Save changes. The experience's departures stop using the resource immediately, which frees it for other departures at those times.
