See your departures in Google Calendar, Apple Calendar or Outlook

Subscribe to your Samba calendar feed so every departure, with seats booked and who is coming, shows up in the calendar app you already use.

Your workspace has a calendar feed: a link that any calendar app can subscribe to. Once you add it, every departure appears as an event named after the trip and its fill ("Wine tasting · 2/12"), with each confirmed booking and participant listed in the event notes. The feed updates by itself; you never export anything again.

Before you start

  • Anyone on your team who can see departures and participants can subscribe. Only Owners, Admins and Managers can regenerate the link.

  • The link is secret. Anyone who has it can see your departures and your participants' names, so share it only with your team.

Subscribe to the feed

  1. Go to Settings → Calendar feed, under Integrations.

The Calendar feed page with the Copy URL and Add to Google Calendar buttons outlined
  2. Click Copy URL.

  3. Add it in your calendar app:

    • Google Calendar — Click Add to Google Calendar on the Samba page instead of pasting, then confirm Add calendar in Google Calendar

    • Apple Calendar (Mac) — File → New Calendar Subscription, paste the link, click Subscribe

    • Apple Calendar (iPhone) — Settings → Apps → Calendar → Calendar Accounts → Add Account → Other → Add Subscribed Calendar, paste the link

    • Outlook — Add calendar → Subscribe from web, paste the link, click Import

  4. Give the calendar a name and color if your app asks, then save.

Each teammate can subscribe with the same link, on as many devices as they like.

What happens next

  • Your departures from the past 30 days to the next 12 months appear as events. Day tours show at their start time. Multi-day trips, and day tours you sell as a date only, show as all-day events across their dates.

  • Each event's notes list seats booked out of capacity, every confirmed booking with its participants' names, and a link to open the departure in Samba. A departure with no bookings yet says so.

  • When a departure moves, its event moves. When you cancel a departure, its event disappears. New bookings show up in the notes.

  • Your calendar app checks for changes on its own schedule. Apple Calendar and Outlook let you choose how often; Google Calendar refreshes on its own and can take up to a day.

  • The feed is one-way: editing or deleting an event in your calendar changes nothing in Samba. To change a departure, use the departures calendar in Samba.

Someone outside my team has the link. What do I do?

Go to Settings → Calendar feed and click Regenerate URL, then Regenerate. The old link stops working immediately, for everyone. Share the new link with your team so they can subscribe again. Only Owners, Admins and Managers see this button.

Why does a booking say "Guest" instead of a name?

That customer's record was anonymized in Samba, so their name no longer appears anywhere, including the feed. Other participants on the same booking still show by name.

I can't see Calendar feed in my Settings menu.

You need permission to view both departures and participants; Field staff accounts do not have it. If you are a Viewer, you will not see Settings in the sidebar at all, but you can still open the page from a link an Owner or Admin sends you.
