Edit a booking

Add or remove participants, change packages, tickets or add-ons on a confirmed booking, and settle the price difference in one step.

After a booking is confirmed you can still change who is traveling, their packages or tickets, and their add-ons. Lines you leave alone keep the price the customer paid. Samba works out the new total and, when it changed, asks you how to settle the difference before anything is saved.

Before you start

Edit booking works when all of these are true:

Once a trip has started, or for a GetYourGuide booking, you can still cancel, refund or change the departure from the other actions on the booking.

Make the change

  1. Open the booking and select Actions → Edit booking.

A booking's Actions menu with Edit booking outlined
  2. Add or remove participants, change a participant's package or ticket, or adjust the add-ons. A booking keeps at least one participant.

    • On a multi-day trip, every participant needs a Package.

    • On a day tour, every participant needs a Ticket and names are optional. Per-person add-ons are set as a quantity, up to the number of participants.

  3. Check the Price on each participant and the unit price on each add-on. A line you leave as it is keeps the price the customer paid, even if your prices have changed since. A participant or add-on you add or switch takes the departure's current price. Type over a price to charge something else.

The booking editor with one participant opened, its Price field and the Change preview panel outlined
    • With party-size pricing there is one Party price for the whole booking instead. It stays as sold while the number of participants is unchanged, and switches to your price for the new party size when it changes. If you have no price for that size, type one to apply the change.

  4. Watch Change preview. It shows the new total against what has been paid, and the effect on seats, add-on stock and installments.

  5. If the total changed, choose how to settle it (see below).

  6. Select Apply changes. Nothing is saved until you do.

If the price goes up

The booking has

You can

Two or more installments still to come

Spread it across future installments, add it to the next installment, or charge now

One installment still to come

Add it to the next installment, or charge now

No installment left (paid in full)

Charge now, or apply the change and request payment by link

  • Charge now charges one of the customer's saved cards immediately. It is offered only when they have a saved card that has not expired.

  • Payment by link saves the change and emails the customer a link to pay the difference. See Send a payment link.

If the price goes down

Situation

You can

The customer has paid more than the new total

Issue customer credit, or refund to card

The customer has not overpaid

Reduce future installments

Credit or a refund covers only the overpaid part. Any remaining decrease lowers the future installments.

Customer credit only records a balance you owe the customer. No money moves, and credit cannot yet be used to pay for a booking. Choose Refund to card when the customer should get their money back.

What happens next

  • Seats, add-on stock, prices and the payment status are all updated together.

  • The customer is always emailed a "booking updated" summary.

  • The change is recorded in the booking's history.

An edit applies completely or not at all. If the card is declined, the departure is full or an add-on is out of stock, nothing is saved. Your changes stay on screen so you can retry or switch to payment by link.

The one exception is a Refund to card that is only partly issued before the card network rejects the rest. The change and the refunded part are kept, the booking shows Partially refunded, and the customer's email states what was refunded and what is still owed. Return the rest with Partial refund on the booking — a Full refund would cancel it.

Is the discount code kept when I edit?

Yes. A percentage code is re-applied to the new total. A fixed-amount code keeps the amount first given, up to the new total. Editing does not use another redemption of the code.

I get a warning about the minimum party size

Removing participants can take the booking under the trip's minimum party size. Samba warns you but lets you apply the change.
