Each departure has its own list of crew tasks. Most come from the task templates attached to the experience. You can also add tasks by hand, and change who does what.
Change the tasks
Open the departure and go to its Crew tasks section. Open tasks sit under To do; finished ones move to Done. Each task shows its due date and who it goes to — a person's avatar, or the role's label.
To add a one-off task for this departure only, select Add task. Give it a Title, and optionally a Description, an Assigned role, and a Due date.
To change a task, select the ⋮ at the end of its row:
Assign or Reassign — give the task to a named person.
Remove assignee — hand it back to whoever holds its role.
Edit due date — your date is then kept, even if the departure moves.
Remove task — this cannot be undone.
Tick a task's box to mark it complete. To reopen it, expand Done and untick it.
Who gets a task
The task has | It goes to |
A named assignee | That person, until you remove them. |
A role, and one person confirmed in that role | That person, automatically. |
A role, and nobody or several people in that role | It stays unassigned. Every confirmed holder of the role can see and complete it. |
No role and no assignee | Only managers see it. |
When you assign or remove crew, role tasks follow the change on their own.
What happens next
The person a task goes to gets an in-app notification, and a reminder when it is due within 3 days. See Crew notifications.
Crew complete their own tasks from their Tasks page.
Why can't I change a task?
Why can't I change a task?
A task that is done cannot be reassigned, given a new due date, or removed — reopen it first. On a canceled departure, tasks are closed and cannot be reopened.

Owners, Admins, Managers, and Users. Viewers can see the Crew tasks section but not change it. Field staff can only complete the tasks that are theirs.
