Samba tells crew about their assignments and tasks, and tells managers about staffing gaps and overdue tasks. Messages go by email, the notification bell in the app header, or both. Nothing is sent while Crew Management is off.
Sent to crew members
Notification | Sent when | Where |
Assignment added | You assign them to a departure. | Email + bell |
Assignment canceled | You remove them, or the departure is canceled. | Email + bell |
Assignment changed | The departure's dates change. Shows the old and new dates. | Email + bell |
Task assigned | A task becomes theirs. Not repeated to the same person within 24 hours. | Bell |
Task due soon | Once per task, when it is within 3 days of its due time. | Email + bell |
Your roster | Once per assignment, about 2 days before the departure. Sent straight away if you assign them later than that. | Email + bell |
Crew members cannot turn these off.
The roster lists the experience, the dates, their role, the other confirmed crew, their open tasks, and the number of participants. It never includes traveler names.
Sent to managers
Notification | Sent when | Where |
Unfilled crew slots | Once per departure, 14 days before it starts, if any slot is still open. | Email + bell |
Crew task overdue | Once per task, when it passes its due time and is still pending. | Bell |
These go to Owners, Admins, Managers, Users, and Viewers — not Field staff. Each person can switch off Unfilled crew slots and Crew task overdue in their own notification preferences, which silences the email and the bell together.
Good to know
Each reminder is sent once. Changing a task's assignee or due date lets its due-soon reminder go out again.
A task for a role with nobody named on it sends no due-soon reminder. You still get the overdue notice.
Removing someone from your team releases their assignments without the "assignment canceled" email.
An open slot on a canceled departure is closed quietly. Only assigned crew hear about a cancellation.
