Set the crew an experience needs

Tell Samba how many guides, drivers or other crew each departure of an experience needs, and update existing departures.

Crew requirements say which roles a trip needs and how many of each, for example "2 Guides, 1 Driver". Every new departure of that experience then gets one open crew slot per seat, ready for you to fill.

Before you start

You need at least one crew role.

Add the requirements

  1. Go to Settings → Experiences, edit the experience, and open its Crew tab.

  2. Select Add crew requirement.

  3. Choose the Role and set the Count — how many people in that role each departure needs.

  4. Repeat for each role, then select Save changes.

On the same tab you can attach crew tasks that every departure should get.

Update departures that already exist

Changes on the Crew tab only reach departures created afterwards. To bring existing ones in line:

  1. Leave the edit form and open the experience's own page. On its Crew tab, select Apply to upcoming departures. This covers every departure that has not started and is not canceled.

  2. Check the preview of what will change. If every departure already matches, Samba says so and Apply is grayed out.

The Apply crew setup to upcoming departures window, saying all upcoming departures are already in sync
  3. Select Apply.

To update one departure only, open that departure's page and select Actions → Sync Staffing & Tasks with Experience. It shows the same preview first.

Updating never removes a crew member you already assigned, or a task that is done. If you lowered a requirement below the number of people already assigned, that role is flagged for you to review — nobody is removed.
