Record time off for a crew member

Mark a guide or driver as unavailable so Samba warns you before you assign them to a departure.

Time off marks a crew member as unavailable for a stretch of time. Samba then warns you if you try to assign them to a departure that overlaps it.

Crew members can record their own time off. Owners, Admins, and Managers can record it for anyone.

Add time off

  1. Go to Settings → Crew management → Members and select Edit next to the crew member. The Time off column shows how many entries each person has.

  2. In Time off, select Add time off.

  3. Leave All day ticked for whole days, or untick it to set a time range within a day.

  4. Set Starts and Ends. Add a Note if it helps, such as "Annual leave".

  5. Select Create.

Use Edit or Delete on an entry to change or remove it.

Times are in your workspace timezone. The entry counts as soon as you save it — there is no approval step.

Time off never blocks an assignment. You see a Blackout warning when you pick that person, and you can still assign them.

What happens next

  • When you assign crew to a departure, anyone whose time off overlaps the departure's start and end time is flagged.

  • Warnings appear only at the moment you assign. If someone adds time off after you assigned them, the assignment stays and nothing flags it, so ask your crew to tell you.

Can I set time off that repeats every week?

No. Each entry is a one-off window. Add a separate entry for each period.
