Find, add and edit your customers

Where your customer list lives, how to add a customer by hand, filter the list, and update someone's details.

Samba adds a customer to your list every time someone books or sends a booking request, so most of the time there is nothing to enter. You can also add a customer yourself, and correct anyone's details at any time.

A customer is the person who buys — not each participant on the booking. To see how records are created and matched, read How customer records work.

Find a customer

  1. In the sidebar, open Operations → Customers.

The Customers link in the Operations section of the sidebar
  2. Type a name or an email in the table's Search box. The search at the top of every page finds customers too, by first name, last name or email.

  3. To narrow the list, click the filter icon next to the search box.

The customer list filters: source, include anonymized, has upcoming trip, marketing opt in, spending bracket and country

The list is sorted by last booking, newest first. Anonymized customers are hidden until you switch on Include anonymized.

Add a customer by hand

  1. On the customer list, click New Customer.

  2. Fill in First name, Last name (1) and Email (2). The email must not already belong to a customer in your workspace.

The Profile section of the new customer form, with the name and email fields marked
  3. Optionally add a phone number, a Preferred language, the Marketing opt-in choice, and an address.

  4. Click Create.

The customer needs no booking. They show as a Prospect until they book.

Leave Preferred language on Workspace default unless you know the customer's language. It decides the language of the emails Samba sends them.

Edit a customer

  1. Open the customer from the list.

  2. Click Actions → Edit.

The Actions menu on a customer page with Edit outlined
  3. Change the name, email, phone, preferred language, marketing opt-in, company or address, then save.

Customers are matched by email. If you change a customer's email and they later book with the old one, Samba creates a new customer for that booking.

What the customer page shows

The top of the page shows contact details, language, marketing opt-in and four figures:

The top of a customer page: identity and contact details on the left, bookings, lifetime spend, last booking and created date on the right

Figure

What it counts

Bookings

Confirmed bookings

Lifetime spend

The total of their confirmed bookings, per currency, whether or not they are paid in full yet

Last booking

The date of the most recent confirmation, not the most recent departure

Created

When the record was created

Below that, tabs list the customer's Bookings, Booking Requests, Invoices (paid invoices and credit notes), Transactions, Cancellation Requests and Emails.

The tabs on a customer page: Bookings, Booking Requests, Invoices, Transactions, Cancellation Requests and Emails

From the Actions menu you can also message the customer, or choose See in customer portal to open a read-only preview of the traveler portal as they see it. It opens in a new tab with a banner showing you are previewing; you cannot pay, change a card or request a cancellation from it, and the customer is not notified.

Can I merge two customers?

No. The same person booking with two different emails is two customers, and Samba has no merge tool. Emails are compared without regard to capitals or stray spaces, so [email protected] and [email protected] are the same customer.

Who on my team can add or edit customers?

Owners, Admins, Managers and Users. Viewers can see customers but not change them. See Team roles and permissions.
