When a traveler asks for a custom date, their card is held while the request waits for you. Accept it to charge the card and create the booking, or decline it to release the card. For the full picture, see How booking requests work.
Before you start
Accepting needs an activated workspace (a card on file). Declining does not. See Activating your workspace.
Answer before the request expires. The deadline is shown as Expires on the request.
Accept or decline
Go to Booking Requests. The Pending tab lists the requests waiting for you; the number beside the menu item counts them.
Open a request. Check the date, the participants and the order. Deposit due if accepted is the amount that will be charged when the traveler chose a payment plan; otherwise the full total is charged.
Select Actions, then Accept or Decline.
To accept, select Confirm.
To decline, write an optional message to the traveler, then select Submit.
Accepting charges the traveler's card immediately, for the price they were quoted when they sent the request. It is never re-priced.
What happens next
If you accepted:
Samba creates a private departure on the requested date and start time, with room for that party only, and a confirmed booking on it.
The traveler's answers to your booking questions are copied to the booking, and their card is saved for any installments.
The traveler receives a "request accepted" email. You land on the new booking.
If you declined:
The hold on the card is released. The traveler is never charged.
The traveler receives an email saying the request was declined, with your message.
The request now says "Accepted – capture failed"
The request now says "Accepted – capture failed"
The card was declined when you accepted. No booking has been created. Samba emails the traveler and asks them to update their card.
What if I do not answer?
What if I do not answer?
The request expires, the card is released, and the traveler is told. Team members subscribed to request alerts are emailed as well.
